Your whole team - each seeing exactly what they need.
Invite team members, assign roles, set per-project access. Contractors see their tasks. Clients see their portal. Time tracking is built in and feeds directly into billing.
Team primitives
Members, Roles, Time, and Capacity.
Members
Your team in one view
Every person who works on projects in your organization lives in the Members view. You see their role, the projects they are active on, their capacity this week, and their last activity. Adding a new team member takes under 2 minutes: invite by email, assign role, add to projects. No separate HR tool, no CSV import.
- Full team roster with role and capacity at a glance
- Per-member project list and active task count
- Email invite with instant workspace access
- Profile with bio, contact info, and role history
- Activity timeline per member
Roles
Four role types with clear permission boundaries
SyncHQ has four roles: Admin, Member, Contractor, and Client Guest. Admins manage the workspace, billing, and all projects. Members see every project they are assigned to. Contractors see only their tasks - not team threads, project financials, or other contractors. Client Guests access only the client portal for their project.
- Admin - full workspace access including billing and settings
- Member - assigned projects, team threads, and all tasks
- Contractor - only their own tasks and relevant conversations
- Client Guest - client portal only, no internal workspace access
- Role changes take effect immediately
Time Tracking
Hours logged per task, rolled up to project
Team members log hours directly on tasks. Time entries carry a date, duration, and optional note. Hours roll up to the project total and feed into billing calculations automatically. There is no separate time-tracking tool to switch between - time is captured where the work happens, attached to the task it belongs to.
- Log time directly on any task in the project
- Date, duration, and note per entry
- Hours roll up to project totals in real time
- Time feeds into billing calculations automatically
- Export time logs per project for client reporting
Capacity
Team workload visible at the week level
The capacity view shows how many hours each team member has allocated this week across all their active projects, compared to their available capacity. Over-allocated members are flagged. You see at a glance who can take on more work and who is at risk of burning out. Capacity is calculated from task estimates and logged hours - not manually entered.
- Weekly capacity view for each team member
- Over-allocation flagged automatically
- Capacity derived from task estimates and hours logged
- Filter by project to see per-project loading
- Reassign tasks to balance load directly from capacity view

How it works
One workspace. Every person in their place.
Invite with one email
Enter an email address, assign a role, and select which projects to add them to. The invite lands in seconds. Your new team member or contractor has immediate access to exactly what their role allows.
Work is visible where it belongs
Contractors see their tasks and nothing else. Clients see their portal. Members see the full workspace. Nobody gets overwhelmed with irrelevant context - or misses context they should have.
Time flows into billing
As team members log hours on tasks, that time accumulates in the project. When billing runs, the hours are already calculated. No separate time export, no manual reconciliation.
