Invoices that write themselves from real project data.
Set retainer or time-based billing per project. When milestones hit or the month closes, SyncHQ generates the invoice from logged hours and completed work - and sends it with a Stripe payment link.
Billing models
Three models. One Stripe integration.
Retainer Billing
Fixed monthly amount per client
Retainer billing fires on a fixed schedule - monthly or custom - for a set amount per client. You configure the retainer amount and billing date once. SyncHQ generates the invoice and sends it to the client automatically. No monthly reminder to send an invoice. No calculation to do. The invoice goes out on time, every time.
- Configure retainer amount and billing day once
- Invoice auto-generated and sent on schedule
- Customizable invoice template with your logo
- Stripe payment link included in the invoice email
- Retainer history visible per client in analytics
Time-Based Billing
Hours logged x rate, calculated automatically
Time-based billing calculates invoice amounts from hours logged by your team on tasks within the billing period. You set the hourly rate per team member or per project. SyncHQ multiplies logged hours by the applicable rate, groups by team member, and builds the invoice line items. Nothing to reconcile manually - the hours are already in the system.
- Hourly rate configurable per member or per project
- Invoice line items built from actual time logs
- Billing period customizable - weekly, biweekly, monthly
- Time log detail included in invoice or attachable
- Disputed hours flaggable before invoice is sent
Milestone Billing
Invoice triggered when a phase is complete
Milestone billing fires an invoice when a specific project milestone is marked complete by your team. You configure the milestone name and the invoice amount at project setup. When your team closes the milestone, SyncHQ generates the invoice and notifies the client. Useful for phased projects where billing is tied to deliverable acceptance.
- Milestone linked to a specific invoice amount at setup
- Invoice fires automatically when milestone is marked done
- Client notified by email with payment link
- Multiple milestones per project, each with own billing amount
- Milestone billing history in project analytics
Stripe Integration
Card payments and bank transfer for clients
All SyncHQ invoices include a Stripe payment link. Clients pay by card or bank transfer in one click. Payment confirmations are reflected in your analytics dashboard automatically - no manual reconciliation, no chasing down payment receipts. Stripe handles PCI compliance, fraud detection, and failed payment retries.
- Card and bank transfer payment options for clients
- Payment confirmation reflected in analytics automatically
- Automatic payment reminders on due date and past due
- Failed payment retry handling by Stripe
- Invoice PDF generated with or without Stripe link
How it works
Configure once. Bill automatically.
Configure billing at project setup
When you create a project, choose a billing model - retainer, time-based, or milestone. Set the rate, amount, or milestone triggers. This is done once, during setup, before any work begins.
Work happens, billing calculates itself
Your team logs hours, closes milestones, and completes cycles. SyncHQ tracks every billable event. When the billing period arrives, the invoice amounts are already calculated from what actually happened.
Invoice sent, payment tracked
SyncHQ generates a professional invoice PDF with your logo and sends it to the client. The client pays via Stripe. Payment confirmation lands in your analytics. Outstanding receivables are tracked automatically.
What it replaces
No more invoice-day anxiety.
Most agencies invoice late because invoicing is a manual process that happens after all the real work. SyncHQ captures billing data as work happens, so invoice day is a click, not a half-day task.
